- Annual Training: Some courses must be completed each year. You will receive automated email reminders if deadlines approach.
- Supervisors can assign training to employees who report to them directly in EDGE, or guide you on job specific training that you may need.

- In addition to parking, sustainable options like bicycling, Cat Tran, Night Cat, carpooling, and Tucson Transit are available for convenience.
Parking Permit tips:
- Permit holders use license plate recognition for entry and exit. If you don’t have a permit, pay the hourly fee at kiosks or upon exit using the ticket from entry. If your plate isn’t scanned correctly, tap your CatCard at the machines.
- Parking permits may have waitlists, so join early and plan alternative transportation options.

Instructions:

- Enter your NetID and NetID password Click Login.
- Your computer screen directs you to check your device for a Duo push,
- Review the Notice box and click Continue to accept the notice alert.
- Click the Instructions button (+ sign) to access specific steps for your operating system.
- In the step-by-step Instructions that load, you can hover over each image for a zoomed-in view or you can click on the images to open them in a new browser tab.
- Department Head Shufang Su shufang@arizona.edu will assess office spaces and assignments on an annual basis each summer. Shufang or admin staff will email you to collect your annual updates.
- TA and RA offices are assigned annually, and as space allows.
- All faculty should directly update Shufang if there is a change, issue or need for office assignments for yourself, your staff, post docs or students at anytime throughout the year.

- The front office houses most general office supplies such as specialty paper, shipping materials, pens, pencils, staples, etc. If something runs out, the front office staff is in charge of restocking the cabinets as necessary.
- Front office staff can also help to generate shipping labels and reserve meeting rooms (PAS 230, 236, and 272).
- If you ever forget your keys or need access to a room that you do not have keys for, front office staff can assist you by opening the space.

The Physics Department is supported by the College of Science HR Team who is currently working on a centralized email to process our HR needs. For the time being please email the Business Office at cos-physics-bus@arizona.edu and they will contact HR to get you request assigned. Once the HR team email has been set up we will provide amplifying guidance for HR Support.

Lunchroom/Lounge/Kitchen (PAS 274)
- Appliances: fridge, microwave, toaster oven, electric kettle, and coffee machine
- Generally stocked with paper plates, plastic cutlery, napkins, cups, coffee, tea, various sweeteners, and serving utensils.
- Weekly Coffee/Tea Time is hosted in the lounge each Monday of the Fall and Spring semesters @ 10:15 AM – 11:15 AM. All department staff, students and faculty are welcome to attend.
Departmental Meeting Rooms (PAS 236, 230, and 272)
- Rooms can be reserved by front office staff (PAS 232) and the undergraduate/ department coordinator (Katie Butcher, PAS 238) in-person or via email.

Copy Room (PAS 256)
- There are two copy machines – the one closest to the door can print in color, the furthest one is only black-and-white.
- Supplies in this room (white and colored printer paper and toner) are managed by the graduate coordinator (Clare DeBuhr, PAS 260).
- If you receive a jam error, you can either follow the directions on-screen to solve the issue or get help from Clare DeBuhr or front office staff.
- A copier code will be provided to you by IT Support Matthew Jones upon your arrival on campus. If you have not yet been provided one or you are experiencing issues, please contact Matt for support.
Mailroom (PAS 254)
- There are mailboxes for all faculty, staff, and TAs in this room. If an envelope is delivered for you, it will be distributed to this room by the front office.
- If you are mailing out envelope-sized items, there are various baskets available for you to put the mail in. Staff will visit the room and collect anything to be mailed out.
Shipping (PAS 232)
- Front office staff can assist you with shipping via courier (FedEx, UPS etc).
- Packages are delivered to room 232 and front office staff will email you to notify you of the package received. You can pick it up from the front office Monday - Friday, between the hours of 8am -4:30pm.
- Federal Express Form - Bring a completed copy of this form, along with the package to be shipped, to the Main Office. Please provide the seven digit UA account number to be charged.
- The Physics Privacy Room is set aside for all department members who seek a safe and quiet place for any of these activities: nursing children, prayer, meditation, or simply reflection.
Privacy Room Guidelines:
- Only one person (not counting children under 3) in the room at a time. Room cannot be reserved. Use is first come, first served basis.
- Forty-five minute maximum per use.
- The room is not a playroom for children of any age. A parent should always accompany a child while in the room.
- Eating, drinking, studying, sleeping, chanting or playing music are not allowed.
- Do not leave trash or personal items in the room.

- Used by undergraduate students to study individually or in a group.
- Used by graduate students to study and socialize.

Check Request Form / Employee Reimbursement Request
Required for requests for reimbursement of purchases made with personal funds.
Use this form to request a payment to off campus vendors, organizations or individuals who are not university employees. Note that if the Pay-to (payee) is not a current UA Vendor, additional information and forms may be requested. Contact the Business office for specific documents.
Required for all P-card transactions. Needs to be brought to the Business Office the Same Day an order is placed or purchase is made. Include back up documentation such as the on line order conformation, an itemized receipt, or conference registration, air line tickets. (For conference registration or airline tickets a Travel Authorization form is also required).
Use with the Department Card whenever food is purchased, including business meetings, business entertainment, employee recognition.

How to submit financial transactions :
- Email cos-physics-bus@arizona.edu for all financial or transactional needs. This routes your request to the HelpSpot ticket system
- You will get an auto email from MATH-BusinessOffice@arizona.edu with your ticket number. Follow-up emails should go to this address (not the original one).

Travel
Travel for University business requires a travel authorization to be submitted before travel arrangements are made and completed before the travel start date. Individual Travel Authorizations are required for all employees in a travel status to ensure they are covered by University insurance during the travel period and to provide Accounts Payable and Business Office evidence that travel was preapproved by budget owners that are funding travel.
Travel reimbursements require a travel authorization number and foreign travel requires the international travel registry number to included when you submit your travel authorization.
